Integration

Google Sheets WhatsApp integration: one row per customer, kept current

Sign in with Google once and WhatsGrow creates a spreadsheet in your Drive, then keeps one row per contact up to date as the AI, an agent or a flow fills in custom fields. If you would rather write to a sheet you already have, a webhook and a short Apps Script do the same job.

What it does

What does the Google Sheets integration do?

It writes your WhatsApp contacts into a Google Sheet, one row each, with Phone, Name, Email, Labels, every custom field you defined and an Updated timestamp. Each time a contact's custom fields change, that one row is updated, so the sheet always reflects what the AI or your team just captured.

Native mode (default). After Google sign-in WhatsGrow creates the spreadsheet and matches rows on a Contact ID column, so an edited phone number or a contact without a phone still lands on the right row.

New fields become new columns. Add a custom field and its column appears at the right of the sheet the next time any contact row is written.

Webhook mode. For a sheet you already own, WhatsGrow posts each change as JSON to a URL you provide. The same URL works for Zapier, Make and n8n.

Backfill. Sync all contacts now (native) or Send existing contacts (webhook) sends up to 500 of your most recently updated contacts that already hold a custom-field value. Other contacts appear once a field is saved.

Setup

How do I connect Google Sheets to WhatsGrow?

Define your custom fields, open Settings > Custom Fields, and press Connect Google Sheets in the card titled "Send customer details to Google Sheets". Approve the Google prompt, wait for the spreadsheet link to appear, and leave Auto-sync on. Use Sync all contacts now once to backfill recent contacts.

  1. Open Settings > Custom Fields and create the fields you want as columns (for example Budget, City, Preferred time). Each field has a name, a key used in the API, and a type.
  2. In the card Send customer details to Google Sheets, press Connect Google Sheets and sign in. WhatsGrow asks only for permission to files it creates itself.
  3. When you return, the card shows "Connected as" your Google address and an Open spreadsheet link. Make sure Auto-sync is on.
  4. Press Sync all contacts now to send up to 500 recently updated contacts that already hold custom-field values.
  5. Test it: change a custom field on a contact in the inbox, and watch that row update.

Using a sheet you already have

Because WhatsGrow can only touch the spreadsheet it creates, an existing sheet needs the webhook route. Choose Use a webhook instead (Zapier, Make, custom), open your sheet, go to Extensions > Apps Script, paste the script shown in WhatsGrow and deploy it as a Web app that anyone can call. Paste the Web app URL into Webhook URL, turn it on, save, then press Send test row. A sample row appears in a tab named "WhatsGrow", and that route matches rows on Phone.

Workflows

What can I automate with WhatsApp and Google Sheets?

Three patterns pay off quickly: the AI qualifies leads and the answers land in a sheet your sales lead already uses, a flow collects details and exports them, and a shared sheet becomes a live report. All three depend on custom fields, because a field change is what triggers a write.

AI qualification into a sales sheet

TriggerA new lead chats with your AI agent.

  1. The agent asks for budget, city and timeline, and saves each answer to the matching custom field as the customer gives it.
  2. Every save updates that contact's row. Labels such as "hot" travel with it in the Labels column.
  3. Your sales lead filters the sheet by Updated or by a column value.

ResultThe team sees qualified leads in a spreadsheet without opening the inbox.

Flow collects details, sheet receives them

TriggerA customer sends a keyword that starts a flow.

  1. An Ask a Question step collects the answer and saves it to a field.
  2. Each field change writes to the sheet.
  3. In webhook mode, the same event can also reach Zapier or n8n, which is where you would connect other tools.

ResultForm-style data capture over WhatsApp, with the output in a place everyone can read.

A shared sheet as a live report

TriggerYou run Sync all contacts now once, then leave Auto-sync on.

  1. Up to 500 recently updated contacts that hold field values land in the sheet, and the rest follow as their fields change.
  2. Build a pivot table or chart over Labels and your custom fields in Google Sheets itself.
  3. Share the sheet with a manager who does not need a WhatsGrow seat.

ResultReporting for people outside the product, refreshed as the data changes. For pipeline numbers inside the product, the CRM has its own views.

Limits

What are the limits of the Google Sheets integration?

It is one way and field-driven. Edits you make in the sheet never flow back into WhatsGrow, and plain messages do not write rows, only custom-field changes and manual syncs do. Native mode also works only with the spreadsheet WhatsGrow creates, never an existing one.

FAQ

Questions people ask

Can WhatsGrow read from my Google Sheet?

No. The integration only writes contact data out. It does not read cells or import rows from a sheet. To bring data in, use the REST API or a webhook tool.

Does Google Sheets get every WhatsApp message?

No. It holds contact details and custom fields, one row per contact, not message history.

Which should I pick, native or webhook?

Native if you are happy with a new spreadsheet in your Drive and want the least setup. Webhook if the data must land in a specific existing sheet, or you want to feed Zapier, Make or n8n as well.

Does it work for every business type?

Yes, it sits in Settings, not in an industry pack, so any workspace with custom fields can use it.
