WhatsApp Zapier and n8n integration: webhooks, flow steps and the REST API

WhatsGrow does not ship a Zapier app or an n8n node. What it has is more basic and works with all of them: webhooks going out, a REST API coming in, and a flow step that can call any URL. This page shows what each one does and which events actually fire.

What it does

How does WhatsGrow connect to Zapier, Make and n8n?

Through three plain mechanisms rather than a packaged app. Webhooks push events out to a catch-hook URL, the REST API lets your automation create and read contacts, leads and payment links, and the flow step "Connect to Another App" calls any URL mid-conversation. Any tool that can send or receive HTTP requests can use them.

Custom-field webhook. In Settings > Custom Fields, choose Use a webhook instead (Zapier, Make, custom). Every time a contact's custom fields change, WhatsGrow posts JSON with the contact, the changed fields and a ready-made row. An optional secret is sent in the body as token and used to sign the request in an X-WhatsGrow-Signature header (HMAC-SHA256).

Event webhooks. In Settings > Developer Portal > Webhooks, register an endpoint and pick events. Deliveries are signed and logged, with one automatic retry after about a minute.

Flow step. The Connect to Another App step in the flow builder sends a GET, POST, PUT, PATCH or DELETE with your headers and body, can insert variables as {{name}}, and can save the response to a variable.

REST API. Version 1 under https://app.whatsgrowai.com/api/v1, with an OpenAPI spec at /api/v1/openapi.json. It covers contacts, conversations (read), pipeline leads, campaigns, payment links, and webhook management.

Setup

How do I set up webhooks and an API key?

Open Settings > Developer Portal. Create an API key under API Keys with only the scopes you need, copy it when it is shown, and use it as a Bearer token. For outgoing events, add an endpoint under Webhooks with an HTTPS URL, choose events, save the signing secret and press the test button.

  1. Go to Settings > Developer Portal > API Keys and create a key. Give it a name such as "Zapier production" and tick scopes such as contacts:write or payments:write. The full key (wga_live_...) is displayed once.
  2. In Zapier use Webhooks by Zapier > Custom Request. In n8n use the HTTP Request node. Send Authorization: Bearer wga_live_... (or X-Api-Key) and a JSON body. On contact, message and payment-link creates, add an Idempotency-Key header so a retry does not duplicate.
  3. To receive events, open the Webhooks tab, add a New Webhook Endpoint with your catch-hook URL, a description and the events you want. For the full signing secret, create the endpoint with POST /api/v1/webhooks; the dashboard toast shows only its first characters.
  4. Press the test action to send a test.event, then open Recent Deliveries to see the response and status. Failed deliveries can be resent.
  5. To verify a delivery, compute HMAC-SHA256 over timestamp.body with your secret and compare it to the v1 value in the Webhook-Signature header (t=...,v1=...).
  6. The Logs tab lists every API request your keys made, which is the quickest way to debug a Zap.

The custom-field webhook URL must be HTTPS and resolve to a public address, so localhost and private-network URLs are refused there. Use a public HTTPS URL for event endpoints too, and test with a tunnel URL or the tool’s own test hook.

Workflows

What can I automate with Zapier or n8n and WhatsApp?

Three jobs are solid today: pushing leads from a web form or ad platform into your pipeline, handing flow answers to another system mid-conversation, and telling your accounting or chat tool when a payment link is paid. Each uses a mechanism that exists in the product and is covered by its delivery log.

Web form to pipeline lead

TriggerA new row appears in your form tool, spreadsheet or ad platform.

  1. Zapier or n8n calls POST /api/v1/contacts with the name, phone, labels and any custom fields. A duplicate phone returns 409, so handle that branch.
  2. It then calls POST /api/v1/pipeline/leads with the contact ID and a pipeline stage ID. Copy the stage ID from the stage object on an existing lead returned by GET /api/v1/pipeline/leads.
  3. The lead shows up in the right stage for your team.

ResultLeads from any source reach the CRM pipeline without a human copying them. A first WhatsApp message is not sent by these two calls.

Flow step hands answers to another system

TriggerA customer reaches a Connect to Another App step in a flow.

  1. Earlier steps collected answers such as budget or preferred date.
  2. The step POSTs a JSON body to your n8n or Zapier webhook URL, with those values inserted as {{variables}}.
  3. Your workflow creates a deal in another CRM, books a slot, or alerts a person on Slack.

ResultThe chat keeps going while the outside system does its part. The call times out after 8 seconds and is not retried, so keep the receiving workflow fast and respond immediately.

Paid link to accounting

TriggerA customer pays a Stripe or Razorpay payment link.

  1. WhatsGrow fires payment_link.paid with the link ID, amount, currency, gateway, contact ID, conversation ID and paid time.
  2. Your n8n workflow verifies the signature and creates the matching entry in your accounting tool or posts to a finance channel.
  3. If your endpoint is down, the failure is logged and one retry runs after about a minute. Resend anything later from Recent Deliveries.

ResultFinance hears about a payment without anyone forwarding a screenshot.

Limits

What are the limits of the webhook and API integration?

The event list in the dashboard is longer than what fires today. Only payment_link.paid fires from real activity, and message.sent fires for messages created through the API. Do not build on contact.created or lead.created yet. Use the custom-field webhook or the flow step instead.

FAQ

Questions people ask

Is there a WhatsGrow app in the Zapier directory?

No. Use Webhooks by Zapier for both directions: Custom Request to call the API, and Catch Hook to receive from the custom-field webhook or event webhooks. n8n and Make work the same way with their HTTP and webhook nodes.

Can I connect HubSpot, Salesforce or Pipedrive?

Not natively. You can sync contacts and deals through these webhooks and the API with a workflow tool in the middle. For the reasoning, see WhatsApp CRM vs HubSpot.

Can the API send a WhatsApp message to a customer?

Send customer messages from the inbox, flows, campaigns or the AI agent. The API is built for moving data in and out. The one call that reaches the chat is creating a payment link with a conversation ID and sendWhatsApp set to true, which delivers the link as a WhatsApp message.

How do I bring leads in from a property portal?

Real Estate workspaces get a per-source inbound webhook URL with its own token. See property portals.

Does it cost extra?

API keys and webhooks need the Growth plan or above; see pricing for the price in your currency. Zapier, Make and n8n bill you separately on their side.
